This guide takes you through every stage: from initial research to your child's first day, including the Malaysian Student Pass process that sits outside the school application itself.
Stage 1: Research and Open Days
Begin by identifying two or three schools that suit your child's age, curriculum preference, and your family's likely neighbourhood. The main questions at this stage are:

Open days are held in two main windows: September to November and January to February. Most KL schools now offer virtual open days, which is the practical first step for families still based in the UK. Attending a virtual open day before submitting a formal application is strongly recommended: it signals genuine interest and gives your child and family a sense of the school's culture.

Stage 2: Formal Application
Once you have identified your preferred school(s), submit formal applications. For secondary-age children at Alice Smith and GIS, waiting sequentially could leave your family without a school place.
Typical application requirements:
- Completed online application form (each school has its own portal)
- Non-refundable application fee: MYR 300–1,800 (Alice Smith: MYR 1,500; GIS: MYR 1,590; BSKL: MYR 1,500)
- Last two years' school reports (current and previous year)
- Birth certificate (certified copy)
- Passport copy (child and both parents)
- Immunisation records
- Reference from current school headteacher (some schools)
All documents should be in English. If originals are in another language, provide certified translations.
Pre-arrival applications. Most KL schools have experience processing applications from families still abroad. BSKL and ISKL in particular have established processes for pre-arrival assessments. Alice Smith and GIS typically conduct assessments remotely for families who cannot travel to KL before their move.
Stage 3: Assessment and Interview
Schools vary in their assessment approach:
- Primary (Reception–Year 6): Usually a play-based or informal assessment. Alice Smith conducts age-appropriate assessments; GIS similarly. Remote assessments via video call are common for families overseas.
- Secondary (Years 7–13): Written assessments in English, Mathematics, and sometimes Science. An interview with the admissions team or head of year is standard. Alice Smith and GIS may ask for a teacher reference and a short written piece from the child.
EAL assessment. GIS requires English as an Additional Language (EAL) assessment for secondary applicants where English is not a first language. An EAL surcharge of MYR 13,130–18,360 per year applies at GIS Years 7–9 if additional support is required.
Stage 4: Offer Letter
Following a successful assessment, the school issues a formal offer letter. This typically arrives two to four weeks after the assessment, though timescales vary by school and availability.
The offer letter will specify:
- Year group and intake date
- Annual fee and applicable SST
- One-off fees due (enrolment/registration)
- Deposit amount and payment deadline
- Deadline to accept the offer
Offers are typically held open for 10–21 days. If you are applying to multiple schools simultaneously, you may receive overlapping offers. Check each school's policy on holding offers while you decide.
Stage 5: Accept and Pay Deposit
To secure the place, you must:
- Return the signed acceptance form before the deadline
- Pay the non-refundable enrolment/registration fee
- Pay the refundable deposit (where applicable)
Alice Smith: Non-refundable enrolment fee MYR 20,000 (plus 6% SST = MYR 21,200), plus refundable deposit MYR 24,000 for Years 1–13. Total commitment at acceptance: MYR 45,200, of which MYR 24,000 is refundable on departure.
GIS: Non-refundable registration fee MYR 20,000 (Years 1–13), plus refundable deposit equivalent to one term's tuition.
BSKL: Non-refundable family enrolment fee MYR 18,000.
These are significant sums that are typically due before the child has even arrived in Malaysia. Budget for them as part of your relocation costs.
Stage 6: Student Pass Application
Every child enrolled at an international school in Malaysia requires a Student Pass. This is distinct from the parent's visa (whether employment pass, MM2H, or other). The school manages the Student Pass application on behalf of the family through the EMGS (Education Malaysia Global Services) system.
Process:
- Once the place is confirmed and deposit paid, the school initiates the Student Pass application via EMGS
- Parents provide: child's passport, relevant parental visa/pass, recent passport photographs
- EMGS processes the application: approximately 4–8 weeks
- The Student Pass is typically ready for collection on or shortly after arrival
Important: Do not wait for the Student Pass before travelling to Malaysia. The school's enrolment letter and evidence of EMGS application is generally sufficient for immigration on arrival. However, confirm this with your school's admissions team before travelling.
Post-arrival medical screening. Within seven working days of arriving in Malaysia, the child must undergo a medical screening at a panel clinic approved by the Ministry of Health. The school will provide a list of approved clinics. Results are uploaded to the EMGS system. Children who fail to complete this screening within the required window may have their Student Pass application delayed.
Annual Student Pass Renewal
Student Passes are valid for one year and must be renewed annually. The school manages the renewal process and will contact you in advance. Renewal costs approximately MYR 900–1,500 per child per year, typically paid through the school. The process takes 2–4 weeks and the school usually handles all paperwork.
Keep your own visa and residency status current: the child's Student Pass is linked to the parental visa, and any change in parental pass status (such as a company change or visa type switch) should be communicated to the school's admissions team promptly.

Note on staggered systems. ISKL uses a US-aligned academic year, also starting in August, but with the US academic calendar (semesters rather than terms). Alice Smith and GIS use three-term British academic years.
If Your Preferred School Is Full: What to Do
Alice Smith is the most acute case. For 2026-27, Years 10, 11, and 13 are fully closed. Years 7, 8, and 9 are on a wait pool. This means a family relocating with a Year 10 child and hoping to place them at Alice Smith for their IGCSE years has no realistic option for 2026-27.
Practical steps:
Register for the wait pool immediately. Even if a place is unlikely, being registered means you are first in line if a space opens due to another family's departure.
Apply simultaneously to GIS and BSKL. Both are strong schools offering the same Cambridge IGCSE and A-Level pathway. GIS's IGCSE results (72% A*/A in 2024) are excellent. BSKL (Nord Anglia) is better placed to accommodate corporate relocations.
Consider RGSKL. Reigate Grammar School KL (opened August 2025, Kajang) has space in most year groups and offers the full British curriculum with class sizes under 20. The Kajang location is further from central KL but may be suitable for families in the south-east of the city.
For Years 12–13 specifically: If your child has already completed Year 11 elsewhere (with IGCSE results), ISKL's IB Diploma is a well-regarded route to UK and US universities that operates alongside A-Levels as an alternative Sixth Form pathway.
Think ahead. If you are relocating with a Year 5 or 6 child, apply now for Year 7 entry in one or two years. Alice Smith Year 7 for 2027-28 has limited but potentially available spaces — the time to apply is well in advance, not in the year you need the place.
